Position Description:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists the Director of Finance with accounts, budgets, and fiscal services for Court.
  • Processes accounts receivable and payable for the Court.
  • Assists with tracking and maintaining the Court’s contracts.
  • Assists with tracking and monitoring recoupment(s) to the County and State on behalf of the Court.
  • Creates and processes timesheets and payroll.
  • Assists in processing grants.
  • Collects and processes travel, training, and related expenses for the Judge and employees.
  • Assists with processing monthly and year end payroll, budgeting and forecasting, and Supreme Court reports.
  • Tracks and maintains paperwork for the Court vehicles.
  • Orders supplies for printers, fax machines, and copiers, and other supplies and equipment as need for the Court.
  • Conducts and tracks equipment inventory, and processes items on Gov. Deals as required.
  • Assists Clerk’s Offices with incoming and outgoing mail as needed.
  • Performs other clerical duties as needed, such as filing, photocopying, shredding, typing, journalizing, and collating.
  • Provides support to the Director of Finance and other Court employees as needed.
  • Processes attorney fee applications for the Court.
  • Process legal publication(s) for the Court.
  • Acts as point of contact for the Court and employees with the case management system and other accounts as needed.
Brief Description:

This individual will provide fiscal support services and compliance under the Director of Finance for the Probate-Juvenile Court.

Job Prerequisites:

SUPERVISORY RESPONSIBILITIES:  This position has no supervisory responsibilities.

EDUCATION AND EXPERIENCE:  High school diploma or equivalent required.  Six months to one-year related experience and/or training is required. Equivalent combination of education and/or accounting or finance experience is accepted.  Must have excellent communication, organizational, and telephone skills and be able to work without supervision.

LANGUAGE SKILLS:  Ability to read and comprehend simple instructions, short correspondence and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-to-one and small group situations to customers, clients and other employees of the organization. 

MATHEMATICAL SKILLS:  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals is required.

REASONING ABILITY:  Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER SKILLS:  To perform this job successfully, an individual should be proficient in Microsoft Word, Excel, and computer equipment.

OTHER SKILLS AND ABILITIES:  Ability to use a 10-key adding machine; attention to detail skills, professionalism, and the ability to maintain confidentiality is required.
